Essential Job Duties and Responsibilities

Things You Love To Do

  • Apply your superior contracts knowledge to the work of ensuring compliance with all contractual obligations for each parking facility.  You own the process and will guide all contracts through the life-cycle using a top CLM platform.

  • As an expert writer, you will create and revise drafts of multiple types of contracts, ensuring accuracy through ongoing reviews with the appropriate Operations manager. 

  • Our clients are the lifeblood of our company, so you enjoy the back-and-forth revision process, working with clients on contract edits/revisions to make sure all stakeholders are accurately represented in drafts and final copies.

  • Then, working closely with our General Counsel you will ensure full legal reviews of those contract drafts, and prepare all contracts that are ready for signature by printing an appropriate number of originals, an abstract summary, and obtaining signoffs from the General Counsel and senior management. 

  • As a multi-tasker extraordinaire, you can triage and handle all types of legal matters in compliance with company policy.  This includes managing Legal’s Database of Contracts (DOC) by keeping data current for all parking facilities so all internal teams can look up current legal obligations at each site. 

  • You are proactive and look for ways to make updates and enhancements to DOC fields to enable more meaningful information to be tracked and reported.  With excellent presentation skills you will then conduct PowerPoint meetings for appropriate teams to demonstrate those enhancements you made to the DOC system.

  • A lover of reports, you will create and distribute DOC reports to key stakeholders as contracts are executed and/or new facilities are opened.  You will also update and distribute weekly contract status reports and handle all monthly team tickler reports, so they are automatically generated on schedule.  Creating ad hoc reports for management and periodically testing all available DOC reports also fall in this scope.

  • Your top-shelf management skills will enable you to supervise our Legal Assistant and work with upper management and all internal teams to keep all stakeholders in the loop on the contract process and status progress.

  • You run a tight ship, keeping on top of all incoming mail, e-mails, deadlines, and direct requests for information.  Whether it’s tracking website domains for renewals, monitoring Service and Trade mark renewals, or working with Customer Care to ensure all marks are correctly configured on Colonial materials and websites, we rely on you to make sure our marks are current and correctly represented.

  • Nothing falls through the cracks as you track all types of documents and information stored by Colonial teams, electronically and hard copy.  You will store all Legal documents and signed contracts digitally in appropriate Facility and Vendor (or other category) file and updates as necessary.

  • This also includes tracking all off-site storage for Colonial Parking by department/team. And from time-to-time you will retrieve and combine files to reduce the number of boxes off-site and reduce costs.

  • A stickler for compliance, you will also conduct periodic audits of the Revenue Integrity and Maximization (RIM) data storage to ensure compliance with specific facility contractual retention obligations.  And annual contract file audits will be performed to ensure that all contract files are present, and all materials are in order. This includes annually creating a CD backup of all signed contracts to be stored off-site.

  • Success requires superior organizational chops to meet all regulatory and tax filings deadlines, handle all court documents received (including bankruptcies, litigation claims and other ad hoc contracts), and work closely with management to ensure appropriate company signature authority policies are adhered to.

  • You also enjoy the legal leg work to assist our counsel with litigation matters, including coordination of employee attendance at depositions, hearings, or trials, as representatives of Colonial.  And any proposed enhancements, efficiencies, or initiatives you make to streamline these tasks will be another feather in your cap.

  • A star at collaboration, you will work with the Legal, Operations, Risk Management, Customer Care, Human Resources and other Departments on a variety of crucial duties. 

  • This includes revisions to all Legal Department Policies, timely distribution of those to Human Resources at all times, and working closely with the Risk Management team to ensure the annual insurance filing contains accurate contractual information regarding facilities and certificate holders.

  • You love being the “Go-To” person who is responsible at all times for reviewing, understanding and acknowledging in writing, when requested, the company provided policies and procedures that directly support completing required work duties.Whether it calls for creating termination letters to parking permit purchasers when a parking facility closes or coordinating with the Customer Care team regarding any government notices that need to go out when a facility closes you step in to get the job done.

Requirements

What You Need To Have

  • Bachelor Degree in General Business or related field.

  • Minimum of 7-10 years with experience as a Contract Specialist.

  • Established experience in Microsoft Office Products including Word, Excel, Power Point, and Outlook.

  • Excellent oral (including formal presentations) and written communications and comprehension skills, required.

 Nice To Have

  • Background in a legal office as a legal assistant, paralegal, or contract specialist is strongly desired, but not required.

  • Ability to learn the job requirements and desire growth in the position is desired.
